Users
User is essentially a team member. When you apply a user license, it links the extension to it.
Here is the procedure for adding an user:
- Click on Users in the left navigation panel.
- Click on Add User on top right corner.
- Enter the Basic Details (* marked field are mandatory to fill).
- Select the Department or click on Add New to create a new department. We add a department to apply a particular ring strategy to answer the calls that are routed to it and assign agents who would answer them.It is only for convenience or record purposes. In one account you can have say a sales/billing/support team. It does not affect calling or any function.
- Click Next.
- Enable the toggle button to assign a phone.
Note: Select User License and Recording License; otherwise, the user will be inactive.
- Enter the details.
- Click Next.

Number | Select the number you want to assign to the user. |
Intercom No. (3 Digits) | 3 digit abbreviation for quick dialing of extension. |
Extension Ring Timeout (in seconds) | Enter the time in seconds for which extension should ring before timeout. |
Music on Hold | Select music to be played while on hold. |
Follow me Number | A follow me number is an internal or external number that you choose to forward all your incoming calls.Please enter number with country code. |
Twinning Number | A twinning number is one which rings along with extension. Keep blank to disable twinning. Please enter numbers with country code. |
Follow me Ring Timeout (in seconds) | Enter the time (in seconds) for which the call should ring at the follow me number. |
Call Strategy | Choose the call strategy from the dropdown list which defines how the incoming call needs to be routed to an extension. |
User License | Select a user licence to be assigned to the user. This defines the outgoing minutes for the user. |
Recording License | Select the licence if recording has to be assigned on the user. |
IP Phone | It is used for auto provisioning from the Device Management option. |
SMS Numbers | Select the number by which you can send/receive SMS. |
Call Announcement | Select enable if you want to inform the user about the call detail (for eg: How much time should the customer have to keep waiting for the agent.) or select disabled to not inform the user about the call detail. |
Caller ID | Select the number from which you want to make outgoing calls. Note: You can select multiple numbers and this number will be shown in the Acefone softphone Caller ID dropdown. |
Fore Name | Enter the first name. |
Name | Enter the surname or business name. |
Premises | Enter the address. |
- Enable the toggle button if you want to add a Voicemail.
- Select Bundle/license and Greeting Recording.
Field | Description |

Bundle/License | Select the bundle/license; otherwise, the user will be inactive. |
Greetings Recording | Recording to be played in voicemail. |
- Click Next.
- Enable the toggle button if you want to provide web login.
- Enter the details and click on Finish.
Note: You can use the same Login ID and Password to login in into the Acefone portal and Acefone softphone.
Field | Description |

Role | Select User Full Access to provide full access to the user and select Add New Role to give customize permission to the user. |
Login ID | Enter the Login ID for web login. Note: Login ID should contain at least 6 characters. |
Password | Select Auto Generate to generate password automatically and to set your own password select Set Password. |
Users for CDR | Select the users for which you can see the CDR. |
- Credentials will be downloaded in .csv format.
To perform various action on a user account, follow these steps:

Click the Users tab on the side-navigation.

Click on Select an Action button to perform operations like Edit, Reset Web Login Password, Disable Web Login, Block, Deactivate or Delete on a user.
Note: Delete operation on a user cannot be undone. Whereas, deactivated users can be activated back again.
To view a role's detail, follow these steps:

Click the Users tab on the side-navigation.

Click on Manage Roles.

A list of all roles along with the relevant details is displayed on the screen.

Select the role.

Click on Select an Action & click on View Role.
- All the details related to the role are shown.
